Flight Scheduling Officer

Reporting to the Flight Operations Team Leader, the incumbent will have a key role in preparing trip itineraries for
flight crews, while coordinating all the necessary logistics that are associated with a trip.

Main Responsibilities
 Coordinating domestic and international flights.
 Preparing all documentation for flights e.g. pre-flight brief, notams, navigation logs.
 Submitting of ATC flight plans.
 Co-ordinating, submitting and disseminating of flight clearances for domestic and international flights.

 Co-ordinating and planning of crew and aircraft.
 Maintaining of all administration and operations records.
 Ensuring aircrew and engineer’s licence are up to date.
 Monitoring and maintaining crew flights and liaison with the chief pilot on duty times.
 Ensuring Aircraft documentation and maintenance due dates are up to date.
 Ensuring Training Organisation documents are up to date giving sufficient notice of expiry dates.
 Ensuring Maintenance Organisation documents are up to date.
 Oversee operations and reconciliations of invoices pertaining to landing and navigation fees and fuel uplift.
 Ensuring that post flight documents are returned and correctly recorded and filed.

Minimum Requirements
 A Diploma in Flights Management.
 5 years of experience in corporate and commercial flight operations.
 Must have the ability to work a flexible schedule, this includes evenings, weekends and holidays.
 Work in the fast paced 24/7, environment of business aviation requiring non-standard work hours and oncall
response.

 Strong organizational skills – detail-oriented, ability to prioritize and be proactive.
 Ability to work under pressure with minimal supervision.
 Flexible and able to deal with change.
 Ability to pay attention to detail.
 Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
