Job Purpose:

As Relief Administration Officer, guided by Camfed’s organizational policies and procedures, under the supervision of the Head of Administration & HR. The Administration Relief Officer will be responsible for ensuring the Admin information is up to date, assisting with managing the reception area and provide smooth operations in the office.

Specific duties and responsibilities:

  • Attending to switch board as well as other clerical work as required.
  • Preparation of payment requisition forms
  • Receipt tracking for payments made to suppliers
  • Maintain and capture consumables for the office
  • Receive stationery and enter into the GRN and electronic stock sheet
  • Admin monthly reports submission
  • Hotel bookings for workshops
  • Source quotations for various purchases made for the organization
  • Minute taking in Admin and Procurement meetings
  • Maintain the electronic leave days schedule
  • Travel arrangements for regional and national travel.
  • Issue stationery for office and districts.

 

 

 

 

The Essential requirements of the person are:

 

  • Computer literacy
  • An Office Administration Certificate or equivalent
  • Relevant experience in Front Office Management
  • Excellent communication – written and oral and interpersonal skills
  • Ability to multi-task and prioritise
  • Ability to work under pressure
  • Fluent spoken and written English
