Requirement
A local non-governmental organisation is inviting bids from IT consultants for the provision of IT services.
Scope of Work
The Consultant &/or his team shall perform the following tasks on behalf of the organisation:
Basic Function
To serve as the IT systems administrative Consultant, ensuring that all IT systems are running & well maintained.
Key responsibilities
- Ensure day-to-day running of the windows, Linux servers and related software;
- Carry out preventive and corrective maintenance on all IT related electronic equipment of the organisation;
- Provide user support and ensure adherence to organisation IT policies for effective use of IT facilities;
- Ensure resources on the organisation network are used effectively, securely and responsibly;
- Assist with the implementation, monitoring & further development of the organisation IT policy including the disaster recovery plan;
- Ensure regular back up and archiving systems of user data;
- Assist with maintenance of operating systems and advise on possible improvements; Ensure all systems are protected against viruses & are secure;
- Develop and maintain the organization’s networking systems;
- Managing the organisations IT systems in its different centres and from time to time plan quarterly visits to the centres for maintenance purposes;
- Advise & make recommendations for development of IT infrastructure
Deliverables
- The consultant will either himself be present or appoint a junior technician to be physically based at the organisation for the day to day monitoring of basic systems monitoring, troubleshooting, user support & maintenance.
- The technician will daily report to the organisation Head Office for a period no less than 3 hours per working day and may be required to stay longer than that period should there be a need;
- Due notice will be given should the consultant or his team be unavailable on any of the working days and the hours of non-attendance will be noted and carried over and covered for on other days within the same working month;
- The consultant and his team will be on stand-bye continuously for the organization’s support not withstanding the daily allocated period of attendance;
- The Consultant will draw up a schedule of preventive and corrective maintenance for each quarter for the different centres which the organisation will assess and approve accordingly;
- The Consultant or a senior technician together with a junior technician will travel to the organisation’s respective centres at the cost of the organisation according to the proposed and agreed Schedule.
- The Consultant will submit to the organisation monthly timesheets of work undertaken in summary form;
- The Consultant will submit a monthly report and timesheet of work undertaken; The Consultant will, on a Daily routine, personally check the organisation’s network system remotely or otherwise for functionality and security purposes;
- The organisation will seek counsel from the Consultant or his senior team members when purchasing equipment to ensure that quality is not compromised on proposed equipment unless a Donor imposes a quality other than recommended by the Consultant;
- The Consultant will be responsible in making sure that a call for help is responded to no later than 24 hours from time of contact;
- The organisation will ensure that all calls for assistance to the Consultant’s team members are copied to the Consultant via Email and / or sms to ensure quality covering by the Principle of this agreement, being the Consultant.
