Key Responsibilities

  • Ensure that monthly billing, collections, and debt-monitoring activities are performed in accordance with approved company procedures and standards.
  • Monitor the client debt portfolio and identify early warning signs of delayed, missed or potentially missed payments.
  • Promptly report and escalate material collection and credit risks to management in accordance with the approved escalation process.
  • Maintain an efficient, accurate and up-to-date filing and record-management system.
  • Develop and maintain effective working relationships with employer HR and Finance teams to support timely billing and collections.
  • Follow up outstanding amounts and agreed payment commitments with clients in a professional, firm, and constructive manner.
  • Handle billing, repayment and account queries and ensure their timely resolution, preferably within 48 hours.
  • Provide accurate statements, repayment information and reconciliations to clients and other authorised stakeholders as required.
  • Maintain effective communication with internal and external stakeholders, particularly where payment issues require urgent attention or escalation.
  • Prepare, verify and distribute monthly billing, deduction, and repayment schedules accurately and within agreed timelines.
  • Obtain and follow up on schedules and supporting information required from clients for the processing of bulk payments.
  • Reconcile stop-order receipts, bulk payments and other client remittances against monthly billings and amounts due.
  • Process and accurately allocate daily bank receipts in the system on a timely basis.
  • Proactively follow up all outstanding amounts and clients whose payments have not been received by the due date.
  • Continuously monitor client debt, arrears, and repayment behaviour, maintaining an accurate and up-to-date record of the debt and collections position.
  • Engage clients regarding failed stop orders, missed deductions and other payment failures, and follow up to ensure that arrears are resolved within the prescribed period.
  • Promptly escalate any indication of non-payment, potential default, repeated missed payment commitments, failed stop orders or material deterioration in payment behaviour to the Operations Manager.
  • Maintain complete and accurate records of billing, collections activity, client payment commitments, payments received and follow-up actions.
  • Maintain the accuracy and integrity of data in the Loan Management System.

Requirements

  • Bachelor’s degree in Finance, Business Administration or a related field.
  • At least two years’ relevant experience in back-office administration, billing, collections, debt monitoring, data management or loan administration.
  • Practical experience in financial reconciliations and client account administration.
  • Experience in collections follow-up, account monitoring, and the resolution of client queries.
