A well-established organisation within the construction industry is looking for a highly organised, proactive and customer-focused Office Administrator & Internal Sales Assistant to join its team. The successful candidate will provide administrative and operational support while assisting with procurement, stock control, customer service and internal sales activities.

Key Responsibilities

  • Manage day-to-day office administration and ensure smooth office operations.
  • Maintain accurate company, customer and supplier records.
  • Handle correspondence, emails, filing and company documentation.
  • Provide administrative support to management and the sales team.
  • Prepare quotations, purchase orders, invoices, sales orders and delivery documentation.
  • Liaise with suppliers regarding pricing, product information and delivery schedules.
  • Coordinate procurement activities and follow up on orders and deliveries.
  • Assist with import documentation, shipping and customs clearance processes.
  • Liaise with freight forwarders, clearing agents, transport providers and suppliers.
  • Monitor stock levels, stock movements and inventory records.
  • Process Goods Received Notes (GRNs) and assist with stock reconciliations.
  • Investigate stock discrepancies and coordinate corrective action where required.
  • Assist walk-in customers and respond to customer enquiries.
  • Support customer credit applications and maintain customer records.
  • Coordinate with sales, warehouse and other internal teams to ensure orders are processed efficiently.
  • Assist with marketing and brand administration, including company profiles, brochures and promotional materials.
  • Assist with general office supplies, procurement and project administration.

Requirements

  • Previous experience working in the construction industry or a construction-related environment is essential.
  • Proven experience in office administration, internal sales, procurement or a similar role.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Experience coordinating with suppliers, customers and service providers.
  • Knowledge of stock control and inventory administration.
  • Experience with quotations, purchase orders, invoices and delivery documentation.
  • Good customer service and communication skills.
  • Proficiency in Microsoft Office.
  • Experience using an ERP or accounting system; Odoo experience would be an advantage.
