Logistics Assistant – Commodity Accounting

JOB PURPOSE

To facilitate proper commodity  management accounting functions and coordinate CBT responsibilities of the supply chain unit.

To provide specialized support functions and/or supervise staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

-Ensure commodity movements overland and inland are tracked properly.

-Support commodity management to enhance good warehouse practices.

-Post Goods Receipt Notes for all local puchases or local GCMF/P4P.

-Create TPOs, STOs and dispatches for third party movements in LESS/WINGS.

-Reconciliation and verification of service provider invoices CBT/Vouchers.

-Perform data analysis to ensure commodity accounting data and records are in compliance and aligment with supply chain activities.

-Conduct retail capacity assessments and selection of business partners as per contracting procedures.

-Perform monthly reconciliations of physical inventories against system stock and produce monthly reports flagging issues and proposing solutions.

-Checking for accuracy and approving in SCOPE on the supply chain components of all retailer payments.

-Creation and maintenance of vendors and liaise with Vendor Master and requesting units on the same.

-Support warehouse operations and stock reconciliations

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A diploma or degree in the related functional area is desirable.

At least 4 years experience in commodity management, warehousing, Supply Chain and CBT activities.
Language: Fluency in English both oral and written communication, as well as fluency in Shona/ Ndebele.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

MS Access, Database, Word, PowerPoint, Excel, Internet E-mail, Lotus Notes.

Demonstrates ability to design basic supply chain networks, including appropriately assessing and escalating challenges to ensure that WFP is able to provide consistent and uninterrupted service to its beneficiaries and partners.

Liaises with internal and external stakeholders to consolidate preliminary data analysis, draft reports and disseminate information that represents concerns and trends.

Ability to collect market information and process and analyse proposals in order to deliver efficiently.

Ability to implement operational warehouse procedures and normative guidance in order to manage WFP’s warehouse, handle inventory effectively through corporate systems, and ensure loss mitigation.
