Key Responsibilities

  • Process all supplier invoices and employee expenses, ensuring accurate coding and timely payment.
  • Prepare and issue client invoices and follow up on overdue accounts.
  • Assist in the preparation of monthly management accounts, including profit & loss and balance sheet reports.
  • Perform weekly bank reconciliations.
  • Prepare and submit compliance reports, such as VAT returns.
  • Maintain the chart of accounts and ensure the accounting software is up to date.
  • Act as the first point of contact for visitors and callers, ensuring a professional and welcoming impression.
  • Manage the main switchboard, efficiently directing calls to the appropriate account managers or departments.
  • Oversee the general cleanliness, organization, and supplies for the office and common areas.
  • Provide general administrative support to the team, including mailing, filing, and scheduling.
  • Conduct regular and periodic stock counts of all high-value production materials and finished goods.
  • Maintain the company’s fixed asset register, recording acquisitions, disposals, and depreciation.
  • Liaise with the production manager to monitor stock levels and flag potential shortages.
