Applications are invited from suitably qualified, experienced, self-motivated and task oriented individuals to fill the above vacant position that has arisen within the Chamber Secretary’s Department.

QUALIFICATIONS AND EXPERIENCE

• Social Science Degree, Communication or Business Management Degree or equivalent
• National Diploma in Secretarial Studies or equivalent a must
• Membership of a recognised relevant professional board an added advantage
• Minimum of 3years’ experience in minute taking and general office administration, 1 year at senior officer position

• Public relations skills
• Experience in preparation and distribution of agendas and minutes of meetings
• Knowledge of computers a must
• Should be focused, innovative and inspiring

KEY DUTIES AND RESPONSIBILITIES

The incumbent will be reporting to the Chamber Secretary and will be in charge of the smooth administration of Committee work, maintain an efficient records management system for Council and the general administration of the Committee section.

• Prepare agendas, minutes, schedules of meetings for Main Council and Committees.
• Capturing of minutes of Main Council meetings and distributes the minutes according to agreed protocol

• Keeps records of minutes and other relevant reports
• Prepares and ensures updates of Council Standing Orders and Code of Ethics for Councillors
• Updates the Council Resolution Report.
• Ensure availability of relevant Acts during Main Council and Committee meetings
• Prepares the Chamber for meetings
• Facilitates travelling arrangements for Councillors
• Any other duties as assigned by the Chamber Secretary
