Our client is seeking a Personal Assistant to provide high-level support to the CEO, ensuring smooth coordination of personal, administrative, and travel activities. The role requires exceptional agility, discretion, and organisational precision. The PA must operate confidently in fast-moving environments, anticipate needs, resolve issues quickly, and physically keep pace with a demanding schedule both locally and internationally. Key Responsibilities

  • Manage all travel arrangements, including booking and adjusting flights, hotels, visas, insurance.
  • Coordinate directly with airlines, hotels, embassies and drivers to ensure seamless movement.
  • Anticipate and resolve logistical issues quickly, handling last-minute changes with calm efficiency.
  • Meet or arrange trusted pick-ups for the executive at airports worldwide and accompany them on trips when required, managing bags, documents, and real-time logistics.
  • Oversee the executive’s personal and professional diary, appointments, and reminders.
  • Handle personal errands, bookings, household coordination, and ad-hoc requests with discretion.
  • Maintain organised records of expenses, itineraries, bookings, and contacts.
  • Uphold strict confidentiality and remain reachable outside standard hours when travel or urgent matters demand it.
  • Prepare professional presentations, proposals, reports, and briefing notes with clear structure and accurate content.
  • Draft correspondence and documentation on behalf of the executive.

Requirements

  • A relevant diploma or degree in Business Administration, Hospitality, or a related field is an advantage.
  • Prior experience as a personal assistant, concierge, or travel coordinator, ideally to an executive.
  • A valid passport and eligibility to travel internationally without restriction.
  • A valid driver’s licence is required.
  • Proven experience arranging international travel, visas, and vehicle hire across different Countries. Must be able to travel at a moment’s notice, including on domestic or international trips, as this is a core requirement of the role.
  • Comfortable working with online booking platforms, travel portals, and basic office software, including Microsoft Word and PowerPoint for preparing proposals and presentations.
  • Well spoken, articulate, and comfortable communicating professionally with executives, clients, and visitors at all times.
