Job Summary
An exciting position has risen for a Finance and Administration Assistant within our organization. The candidate will be expected to propose, develop donor reports. Will also do financial reporting and control budgeting, budget monitoring, liquidation, cash flow management, office administration. Work with and support the Executive Director and Program Manager.

Duties And Responsibilities
Proposal Development and Donor Reporting
 Participate in proposal writing through the development of sound budgets
 Provide technical assistance to programme staff in managing project budgets
 Assist in the development of a fundraising strategy
 Assist in the preparation of donor financial reports according to donor, national and international accounting standards
Financial Reporting and Control
 Ensure all staff adhere to financial procedures and policies
 Ensure the complete and accurate recording of all transactions
 Review all back-up documentation to ensure it complies with organization’s financial procedures and provides a complete audit trail
 Update financial control procedures as and when necessary, in consultation with the Finance and Administration Officer
 Assist in undertaking regular reviews of the organization’s financial systems to ensure the procedures are continually optimized
 Maintain a fixed asset register for the organization
 Assist in the preparation of monthly financial management reports for internal and external users
 Assist in the preparation of annual financial statements and liaising with external auditors
 Provide stakeholders with all information required for organizational level audit
 Ensure all donor funds are received, applied and accounted for as per disbursement agreements
 Ensure organization complies with taxation regulations
Budgeting and Budget Monitoring
 Work with the Finance Officer and program staff to develop the internal budget
 Assist with internal budget management process
 Liaise with donors to ensure budgets are submitted in accordance with agreement requirements
 Assist the Finance Officer with the supervision and consolidation of financial plans, budgets and forecasts prepared by the relevant staff
Liquidity and Cash Flow Management
 Ensure all payments to suppliers are made in a timely and accurate manner
 Assist in the preparation and running of the monthly payroll
 Manage and control cash in hand
 Ensure all cash and bank reconciliations are conducted monthly
Internal Staff Capacity Building
 Introduce new staff to finance and admin procedures
 Hold workshops with staff to maintain a high level of understanding and compliance with financial and admin procedures
Ensure Efficient and Effective Office Administration
 Line management of finance interns, including regular line management meetings, setting targets and developing work plans
 Continuous improvement of admin systems and processes
 Ensure efficient running and administration of all offices
Work with and Support the Executive Director
 Provide administrative support to the Finance Officer
 Prepare adhoc reports required by senior management
 Other related projects

Qualifications And Experience
• Higher National Diploma or Degree in Accounting – Professional accounting qualification is an added advantage
• At least 2 years experience in an accounting position in the NGO sector
• Experience in developing financial administrative systems
• Experience in reporting to donors
• Ability and confidence to enforce financial policies and procedures
• Excellent computer skills – MS Excel and Pastel accounting essential
• Experience managing and training other staff
• Ability to analyse problems and make strategic decisions
• Good interpersonal and communication skills
• Excellent organisational skills
• High level of self motivation
• Honest and trustworthy
• Enjoy working in a multi-cultural environment as part of a rapidly growing and developing youth-led organization
• A driver’s license is a must.
