The Desk Sales Officer provides prompt product and pricing support, maintains accurate customer and order records, coordinates with stores and other departments, and helps the sales team achieve revenue, margin and service targets.

Key Responsibilities

  • Receive and respond promptly to walk-in, telephone, email, website and WhatsApp enquiries in a professional manner.
  • Establish each customer’s requirement, including product description, size, grade, finish, quantity, application, required date and delivery or collection arrangements.
  • Recommend suitable products using approved technical information and refer uncertain or safety-critical applications for technical confirmation.
  • Explain product availability, lead times, approved prices, payment terms and order conditions clearly and accurately.
  • Promote relevant alternatives, complementary products and cross-selling opportunities without compromising customer requirements.
  • Develop positive relationships with customers and provide consistent service that encourages repeat business.
  • Prepare clear, accurate and complete quotations using approved price lists, customer terms, discounts and gross-margin requirements.
  • Verify stock availability, sourcing requirements, delivery dates and commercial conditions before committing to a customer.
  • Submit quotations within agreed turnaround times and keep a complete quotation register.
  • Follow up open quotations systematically, record customer feedback and progress each opportunity to order, deferment or closure with a reason.
  • Negotiate within delegated authority and obtain approval before offering exceptional prices, discounts, credit terms or delivery commitments.
  • Escalate high-value opportunities, tenders and unusual commercial risks to the Sales Supervisor.
  • Convert accepted quotations and purchase orders into accurate sales orders, confirming customer details, products, quantities, prices, taxes, payment terms and fulfilment instructions.
  • Check that purchase orders, proof of payment, credit approvals and other required supporting documents are complete before release.
  • Coordinate with stores, procurement, accounts, dispatch and delivery personnel to ensure orders are picked, invoiced and fulfilled correctly and on time.
  • Keep customers informed of order progress, back-orders, substitutions and changes to agreed delivery or collection times.
  • Resolve routine order discrepancies promptly and escalate stock, quality, payment, delivery or customer-service issues without delay.
  • Support counter collections and ensure the correct customer or authorised representative receives the correct goods and documents.
  • Maintain current customer contact, account, purchasing and communication information in the approved system or registers.
  • Contact assigned customers and dormant accounts to identify repeat requirements, replenishment cycles and upcoming projects.
  • Identify new account opportunities from incoming enquiries and refer qualified field opportunities to the responsible salesperson.
  • Handle complaints courteously, record the facts accurately and coordinate timely resolution with the responsible department.
  • Protect confidential customer, pricing and company information at all times.
  • Develop working knowledge of bolts, nuts, washers, threaded rod, specialised fasteners, electricity-line hardware and related products.
  • Understand common dimensions, threads, materials, grades, finishes, standards, applications and customer quality expectations.
  • Remain familiar with current stock, incoming supply, approved substitutes, price lists, promotions and commercial policies.
  • Use only current, approved information and immediately correct or report any pricing, specification or catalogue discrepancy.
  • Maintain accurate and current records of enquiries, quotations, follow-ups, sales orders, lost sales, complaints and customer commitments.
  • Submit concise daily activity updates and weekly and monthly sales reports to the Sales Supervisor.
  • Report on enquiry volumes, quotation values, order values, conversion, gross margin, lost sales, response times and overdue follow-ups.
  • Participate in sales meetings, review performance against targets and implement agreed corrective actions.
  • File sales documents in accordance with company controls and support stock counts, debtor follow-up and other sales-office activities when assigned.

Requirements

  • Diploma, certificate or equivalent qualification in Sales, Marketing, Business Management, Customer Service or a related discipline.
  • At least two years’ relevant experience in desk sales, internal sales, counter sales, customer service or sales administration.
  • Experience in industrial products, engineering supplies, manufacturing, construction materials or hardware is an advantage.
  • Proficiency in Microsoft Office, email, WhatsApp Business and sales, accounting, ERP or CRM systems.
  • Sound numerical ability and practical experience preparing quotations, processing orders and maintaining commercial records.
