ROLE PROFILE

 

 

• ROLE TITLE: Debtors & Claims Clerk.

• LOCATION: Belvedere, Harare.

• REPORTING TO: Billing Supervisor.

 

 

 

ROLE SUMMARY

 

The Debtors – Claims Clerk is responsible for the full management of debtor and claims accounts ensuring timely invoicing, tracking outstanding payments, handling collections, maintaining accurate records and liaising with customers and internal stakeholders.

 

 

PERSON SPECIFICATION

 

The Candidate should possess the following Specifications:

• Preferred: Diploma or Degree in Accounting, Finance or a related field.

• Good proficiency in MS Excel, Word and general accounting software

• 3+ years of experience in billing and claims experience.

• Good negotiation and customer-service skills able to engage professionally with customers in arrears.

• At least two traceable references.

 

 

DUTIES AND RESPONSIBILITIES

 

 

• Generate, issue and distribute customer invoices, credit notes and statements in line with company policy and agreed payment terms.

• Monitor the accounts receivable ageing-schedule, proactively follow up with customers on overdue accounts and negotiate payment plans where necessary.

• Reconcile individual customer accounts: match payments to invoices, identify and resolve discrepancies, apply payments accurately.

• Maintain accurate debtor records and claims files (as applicable), prepare monthly reports on aged debtors, cash-flow projections and credit exposure.

• Liaise with internal teams (sales, finance, customer service) and external customers to resolve billing issues, disputes and clarifications promptly.

• Identify improvements in debtor/claims processes and contribute to increased efficiency, accuracy and recovery rates.
