Administrative Assistant (X 2 Posts)
Duties And Responsibilities
The successful candidate will be responsible for:-
• Budgeting and control of the Faculty finances and oversee the Procurement process
• Monitoring inventory of office supplies and the purchasing of new materials with attention to budgetary constraints
• Monitoring costs and expenses to assist in budget preparation
• Records Management organising a filing system for important and confidential Faculty documents
• Answering queries by other Faculty members and students
• Maintaining a Faculty Calendar, schedule and manage appointments and deadlines
• Arranging travel and accommodation for Faculty members
• Organising and supervising inhouse and external events
• Provision of administrative support to the Faculty Administrator
• Admissions of new students
• Registration of students and processing examination results
• Procurement of equipment, consumables, stationery and monitoring Faculty votes
• Assisting in the preparation of reports
• Servicing meetings- selection board for junior non-academic staff, admissions committee, quality assurance committee, Faculty graduation committee, board of examiners committee.
• Individual must have people skills, be dynamic and able to work under pressure
• Any other duties as assigned by the Dean
Qualifications And Experience
The position requires an individual with: –
• A Bachelor’s degree in Social Sciences, Administration or equivalent.
• Experience in an Institution of Higher Learning is an added advantage
• Excellent verbal, written communication and interpersonal skills
• Results-driven, self-motivated, highly disciplined resourceful with good problem-solving and critical-thinking skills, and thrive in a fast-paced, results-oriented and ambiguous work environment
• Strong team ethic, ability to work collaboratively with various stakeholders to achieve desired outcomes
• At least two (2) years post qualification experience in adminstration
• Competence in Information and Communication Technologies
• Financial acumen
