About OPHID
The Organization for Public Health Interventions and Development (OPHID) PVO 31/16 develops and implements innovative approaches and strategies to strengthen HIV Care and Treatment services in Zimbabwe, by providing enhanced access for communities to comprehensive HIV prevention, care and treatment. OPHID works with the Ministry of Health and Child Care (MOHCC) in implementing these interventions.
Position summary
Under the guidance of the Provincial Finance and Administration Assistant, the Admin Clerk will be responsible for supporting the implementation of the OPHID Procurement and Logistics Policy and to ensure that the OPHID fleet is managed in an efficient and effective manner.
Key responsibilities
Seeking quotations for goods and services; Compiling comparative schedules and procurement packages in compliance with OPHID Procurement Policies and Procedures; Submitting proof of payments to suppliers of goods and services; Receiving goods that have been purchased and arranging for the appropriate marking branding and storage or distribution; Following up on supplier tax invoices and submitting the invoices to central office; Issuing assets to OPHID staff and receiving returned assets; Maintaining procurement documents for the province; Monitoring the vehicle tracking system for drivers and alerting the Provincial Program Manager, District Manager and Transport Officer about any deviations; Coordinating and supporting drivers to compile accidents reports and submit required documents for approval by the transport officer; Reviewing vehicle and motorcycle logbooks for approval by the transport officer; Supporting the motorcycle mechanic to conduct vehicle, motorcycles and bicycles inspections; Maintaining vehicle use records for all vehicles that are used in the province; Coordinating the process of hiring vehicles in compliance with the OPHID Transport Policy.
Person specification
At least a Degree in Procurement and Logistics; A relevant professional qualification is an added advantage; At least 1 year working experience in a similar capacity; Proficiency and knowledge of ERPs is an added advantage; Good interpersonal skills; A self-starter able to work with little supervision; Excellent computer skills in MS Word and Excel; A proactive person with initiative and drive, honest with a high level of integrity, a team player with good planning skills.
