JOB DESCRIPTION
ERG Africa invites suitably qualified candidates to apply for the Personal Assistant & Office Administrator role reporting to the Finance Director at our Zimbabwe operations.
The successful incumbent will provide administrative support to managers and departments to ensure the efficient flow of administrative processes and operations across the company. The PA & Office Administrator will support a variety of tasks across different departments, including personal assistance duties. The role will include working with confidential and sensitive information and as such will require a candidate with a high level of integrity and honesty.

Key Responsibilities:
- Provides administrative support as requested by fellow employees and managers
- Provide necessary managers with personal assistance
- Takes on several administrative tasks, including but not limited to document typing, copying, proofreading, typing, scanning etc.
- Prepare communication documents such as meeting minutes
- Assists managers with sorting documents accordingly, digitally as well as paper-based
- Supports the efficient operation and communication of office needs
- Exhibits polite and professional communication
- Assists with travel arrangements such as booking flights, hotels, etc.
- Maintain calendars, schedule appointments and meetings
- Ensure the safe keeping of confidential documents and information
- Submit documents to external parties as needed
- Petty cash management
- Assess financial recons on a weekly basis
Adhoc:
- Always maintain confidentiality of data and departmental security
- Liaise with site and regional offices to ensure the accuracy and timeous update of relevant reports, when necessary
- Undertake other duties which it is reasonable to do so.
- Work with line manager to update job description where appropriate.
- Ensure compliance to all policies, procedures, standard operating procedures, and safe working practices, with recommendations for action and continuous improvement.
- Experience or exposure to accounting would be a bonus
Qualification & Experience:
- College degree or equivalent
- 5+ years of administrative assistance experience
- 5+ years’ personal assistance experience
- Well versed in using software such as Microsoft Office, Outlook, etc.
- Exposure to multinational workplace preferred
- Hold a valid Class 4 drivers license
Skills:
- Advanced skills in Microsoft Outlook, Excel, Word and PowerPoint.
- Time / Diary Management
- Excellent organization skills
- Have strong interpersonal, written and communication skills.
- Analytical skills
