The Finance and Administrative Clerk is responsible for providing accounting, administrative and clerical services in order to ensure effective and efficient accounting and administrative operations. The Administrative Clerk must comply Generally Accepted Accounting Principles and settlement policies and procedures.
Duties And Responsibilities
• Typing agendas for meetings
• Preparing meeting packages and distributes to attendees at least two days prior to the meeting
• Attending, recording and transcribing minutes of all meetings
• Transcribes formats, inputs, edits, retrieves, copies and transmits correspondence, documents, data and graphics
• Word processes all manuscripts, letters, documents and proposals
• Processes outgoing mail
• Compiles and maintain an up to date telephone directory of numbers and addresses
• Files all correspondence
• Updates the bulletin board by posting and removal of outdated materials
• Reconciling cash and checks collected and prepare deposits.
• Maintaining the confidentiality of correspondence, documents, discussions, meetings and telephone calls.
• Overseeing the operation of various office machines to include copier, computer, fax, phone and mail machine.
• Administer freight pick-up process, as required.
• Design and edit drafts of correspondence, reports, forms, charts, memos, and other documents, as needed.
• Manage inventory of office supplies and initiate orders.
• Perform data entry for special on-going projects.
• Comply with all applicable laws/regulations, as well as company policies/procedures.
• Communicate with sales and operations.
• Assist customers to determine pick-up or delivery needs and/or status and respond to billing questions.
• Perform daily clerical duties such as answering and screening telephone calls; taking messages; sorting and distributing incoming mail and faxes; copying and collating; and other routine duties necessary to assist senior personnel and departmental management.
• Perform administrative functions, including but not limited to; filing, answering phones, imaging.
• Verify and complete required documentation and reports, including but not limited to; productivity information.
• Any other duties or responsibilities assigned by Management
Qualifications And Experience
Accounting Degree with 2.1 or Better
At least 1 year experience in the Accounting or Finance and Administration Department
