The Procurement Regulatory Authority of Zimbabwe (PRAZ) has the following position that has fallen vacant

JOB TITLE :                            REGISTRY OFFICER

Overall Job Purpose

To supervise the receipting, storage and dispatching of all correspondence, bids, and applications relating to the Authority including the conversion of hard copies into electronic format in line with the Authority policies.

Main Duties and Responsibilities:

• Participates the development of procedures that govern delivery and receipt of all PRAZ mail
• Develops and maintains an electronic and manual filing system of all PRAZ documents
• Processes incoming and outgoing mail ensuring that all mail is appropriately referenced and classified
• Converts all incoming and outgoing mail into electronic format to ensure that users are able to access these at anytime
• Maintains a register of all file movements to ensure that there is an accurate record of files in the registry
• Assists in the receiving of bid documents and maintenance of appropriate registers of bids received after the tender closing date
• Assists with the retrieval of documents upon request from departments
• Supervises the Registry Clerk and provides coaching and mentorship

Qualifications and Experience:

• Diploma in Information management or Records Management or equivalent from a recognised institute.
• Minimum of 5 years’ experience of which 2 years must be at a supervisory level.
• Knowledge of public procurement shall be an added advantage.
• Degree in Information Management or Records Managementor equivalent shall be an advantage.
