This position supports the Logistics and Procurement Officer in reviewing overall inventory and vehicle fleet management processes, tracking distribution of goods and services through the supply chain -cycle, ensuring that all commodities procured ad properly received, registered, properly stored and distributed to the intended beneficiaries. S/he will assist in efficiently monitoring the organisation vehicle fleet. S/he will assist in providing timely staff services and efficient office operations in the areas of vehicle tracking, servicing and repair, inventory management, supplies storage and distribution.
Duties And Responsibilities
Inventory management
Obtaining requests for commodities from programme teams and facilities; Prepare and complete orders for delivery or pickup by programme trams and facilities according to schedule (prepare issue vouchers, load, pack, wrap, label, ship, deliver); Receive procured goods and recording and maintaining stock cards and issuing GRNs; Monitoring stock levels, conducting weekly and monthly physical stock counts and assist in generating reports; Ensure inventory is orderly stored according to set guidelines (stock cards, shelving, temperature); Ensure the warehouse and stores are secure, physically clean and have a safe working environment and optimise space utilization; Tracking products through teams and facilities to make sure they arrive at their destination; Receive and process warehouse stock products (pick, unload, label, store); Assist to perform inventory controls and keep quality standards high for audits; Collect and send invoices to appropriate department; Receiving, inspecting and verification of all incoming equipment, furniture and supplies and scheduling deliveries to users; Support the annual physical inventory verification exercise by checking the accuracy of records and location of property; Preparation of inventory reports as required.
Vehicle fleet management
Assist in developing and updating route maps; Assist in ensuring that log books are accurately completed and reviewed; Assist in compiling and maintaining vehicle fleet inventory and compile and update weekly vehicle destination log; Booking vehicles for service and tracking service schedules and delivery; Assist in the collection and filing of fuel documents and producing reports as required; Assist in vehicle inspection; Initial checking of driver logs, fuel use tracking and reconciliation, and driver trip reports for accuracy; Assist in producing monthly vehicle fleet reports; Download vehicle tracking report, analyse and give reports; Monitor, with supervisory visits and documented spot checks, inventory storage and movement records of programme commodities at project supported facilities.
Qualifications And Experience
At least 5 O level passes including mathematics and 2 passes at A level; A basic qualification in logistics and inventory management; Qualification and Knowledge in motor vehicle servicing and repair and auto electrics; At least 5 years’ experience and currently working in logistics, supply chain planning and management in NGO, private sector/ international organizations; Knowledge and ability to work on electronic database and Logistics information management systems (LMIS), pastel, Excel and Power point; Excellent communication skills (oral and written) in English, honest, encourages openness and transparency; demonstrates highest levels of integrity and credibility.
