Key Responsibilities
- Ensure all signed supply contracts and agreements are properly filed electronically and physically.
- Prepare accurate fuel price build-ups using Platts Quotations for approval and SAP implementation.
- Create purchase orders and stock transfer orders in SAP to support uninterrupted fuel distribution.
- Manage supplier portfolios and vendor accounts in SAP.
- Initiate and track payments for product purchases and duties.
- Monitor daily stock levels and maintain the target stock level KPI of five days.
- Submit supplier invoices to Finance for timely processing.
- Prepare daily, weekly and monthly statutory supply reports for ZERA and the Ministry of Energy and Power Development.
- Keep supplier contracts and due diligence documentation up to date.
- Maintain deal recaps and supplier payment tracking records.
- Track supplier balances and obtain monthly statements.
- Coordinate product releases from suppliers before stock depletion.
- Reconcile supplier accounts and provide remittance advice.
- Perform in-transit reconciliations and priority control reporting.
- Request Certificates of Origin (COOs) before product release and maintain accurate records.
- Monitor and update depot stock levels daily.
- Recommend replenishment plans where necessary.
- Process stock transfer orders between TotalEnergies locations.
- Managing over 200 stock transfer orders across assigned regions.
- Coordinating the release of more than 250,000m³ of petroleum products including Jet A1, Diesel, Ethanol and Unleaded Petrol.
- Preparing weekly and monthly pricing for contracted fuel volumes.
- Reconciling supplier accounts and monitoring payments.
- Conducting daily stock analysis and replenishment planning.
- Promoting zero workplace and home fatalities.
- Reporting at least two near-miss incidents each month.
- Participating in depot offloading activities and safety tours.
- Conducting Safety Task Leadership (STL) and Daily Safety Conversations (DSC) every quarter.
- Maintain professional relationships with suppliers and stakeholders.
- Comply with Zimbabwe’s regulatory framework, including ZERA, RBZ and Treasury requirements.
- Demonstrate high ethical standards and professionalism in all business activities.
Requirements
- A Degree in Business Studies, Finance, Engineering, Purchasing and Supply, or a related field.
- A minimum of 3 years’ experience in the fuel industry, supply chain, or logistics.
- Knowledge of fuel storage and handling.
- Good communication skills.
