To assist the Stores Department in controlling stock by maintaining accurate physical and system records, supporting stock counts and reconciliations, monitoring stock movements, improving bin and location accuracy, and promptly reporting variances. The role also provides a student enrolled at a recognised tertiary institution in Zimbabwe with supervised practical experience in inventory control and stores operations.

Key Responsibilities

  • Assist with daily cycle counts, spot checks, periodic stocktakes and other inventory-verification activities according to an approved count plan.
  • Count, weigh or measure stock carefully and record physical quantities exactly as found, without changing results to match records.
  • Compare physical quantities with bin cards, stock registers and system balances and prepare clear variance listings for review.
  • Support investigation of shortages, excesses and negative balances by tracing receipts, issues, transfers, returns and recent count results.
  • Check product descriptions, sizes, grades, finishes, units of measure and pack quantities to identify misclassification or mixed stock.
  • Ensure all stock adjustments are supported by approved documents and authorised by the responsible supervisor before processing.
  • Update or support the updating of bin cards, stock registers and approved inventory systems for authorised receipts, issues, transfers and returns.
  • Check that every physical stock movement has complete, authorised and traceable supporting documentation.
  • Match goods-received notes, picking slips, transfer documents, returns and adjustment forms to recorded transactions.
  • Maintain orderly files and count records so that stock movements can be traced during reconciliation or audit.
  • Identify unprocessed, duplicated, incorrectly dated or incorrectly coded transactions and report them for correction.
  • Prepare daily or weekly summaries of counts completed, variances identified, outstanding documents and corrective actions.
  • Verify that each product is stored in the approved bin, shelf, rack or secure location and that location records are current.
  • Maintain clear and accurate product and location labels, including product code, description, size, grade, finish and unit of measure where applicable.
  • Identify duplicate locations, empty recorded locations, unidentified stock and goods stored outside designated locations.
  • Keep unlike grades, sizes, finishes, customer-owned goods, returns and quarantined stock properly separated.
  • Monitor slow-moving, obsolete, damaged, rusty, contaminated or deteriorating stock and submit findings to the Stores Supervisor.
  • Assist with housekeeping, safe stacking and aisle clearance so that stock remains countable, secure and accessible.
  • Independently recheck, or assist with checking, the product identity and quantity of selected receipts, issues, transfers and customer returns.
  • Confirm that stock is not received, moved or issued without the required approved documentation and supervisory checks.
  • Verify that accepted receipts are promptly labelled, recorded and placed in the correct location.
  • Check that picked or returned items are removed from or restored to the correct bin and reflected in the relevant record.
  • Report shortages, overages, mixed stock, incorrect picking, damaged goods and documentation discrepancies without delay.
  • Maintain confidentiality and immediately report suspected stock loss, unauthorised movement or record irregularities.
  • Develop practical knowledge of bolts, nuts, washers, threaded rod, specialised fasteners, electricity-line hardware and related products.
  • Learn common dimensions, threads, materials, grades, finishes, packaging units and product-identification methods.
  • Observe how stores activities connect with procurement, sales, accounts, dispatch and customer service.
  • Complete assigned workplace learning activities, logbooks, reports and assessments required by the company and tertiary institution.
  • Ask for guidance whenever an instruction, product, document, system transaction or safety requirement is unclear.
  • Comply with company health, safety, security, quality and housekeeping procedures at all times.
  • Wear required personal protective equipment and use ladders, trolleys, scales and other equipment only after instruction and authorisation.
  • Do not operate a forklift, lifting device, vehicle or specialised equipment unless properly trained, certified where required and expressly authorised.
  • Report hazards, incidents, injuries, near misses, damaged equipment and unsafe practices immediately.
  • Attend briefings, training and review meetings; accept coaching and implement agreed improvements.
  • Perform other reasonable, supervised stores and operational duties assigned for learning and business support.

Requirements

  • Currently enrolled at a recognised university, polytechnic, teachers’ college or other tertiary institution in Zimbabwe.
  • Studying Supply Chain Management, Logistics, Procurement, Inventory Management, Business Management, Industrial Engineering or a related programme.
  • Eligible and available to undertake an industrial attachment or internship for the period required by the institution and agreed with the company.
  • Able to provide a valid institutional attachment letter, proof of current enrolment and any required academic or identification documents.
  • Basic competence in Microsoft Office, particularly Word and Excel; exposure to inventory, accounting or ERP systems is an advantage.
  • Basic numerical ability, clear written and spoken English, and the physical ability to perform stores duties safely with reasonable accommodation where applicable.
