Dallaglio is seeking to appoint a Projects Coordinator.

Job Purpose: To support the Group Projects Manager in maintaining portfolio-level visibility and control over all Board-approved capital projects. The role coordinates project schedules, procurement readiness, governance reporting, registers, dashboards, and documentation across the Group, to support timely and informed decision-making.

Key Responsibilities

  • Consolidate site schedules into a portfolio-level milestone plan covering stage gates, critical milestones, dependencies, and overall project health.
  • Maintain the portfolio MS Project schedule, ensuring sound logic, baseline control, consistent milestones, and regular updates.
  • Produce 2-week and 6-week look-ahead plans and maintain live constraints and action logs.
  • Monitor planned versus actual progress, identify schedule risks, and track recovery actions with Site Project Managers and Planners.
  • Conduct first-pass reviews of capital project Purchase Requisitions, verifying scope, budget, cost codes, specifications, and supporting documentation.
  • Review Supplier Adjudications for commercial completeness, budget alignment, and required approvals.
  • Maintain procurement plans and long-lead item trackers aligned with project milestones and site need-by dates.
  • Support the preparation of scopes of work, contract documentation, deliverables, and key commercial terms.
  • Maintain traceable records of PRs, adjudications, approvals, purchase orders, GRVs, and contracts.
  • Maintain RAID, action, change, trend, decision, and milestone registers across all active projects.
  • Ensure that project execution plans, organograms, RACIs, stakeholder lists, risk registers, and reporting templates are current.
  • Prepare and maintain executive dashboards, governance reports, and project reporting packs.
  • Monitor actions and decisions arising from governance meetings and escalate overdue items.
  • Enforce document naming, version control, filing, distribution, and audit-traceability standards.
  • Align schedule, procurement, cost, and progress information across reporting outputs.
  • Identify recurring project delivery bottlenecks and implement practical corrective measures.
  • Standardise project dashboards, trackers, meeting formats, and reporting structures.
  • Review project cost codes, budget lines, and commitments and flag discrepancies to the Cost Controller.

Requirements

  • Bachelor’s degree in Project Management, Engineering, Business Administration, or a related field.
  • Post-graduate qualification or professional membership in project management or project controls is an added advantage.
  • Minimum of 5 years’ experience in a project planning, project coordination, or project controls role within mining, construction, engineering, or an equivalent capital-project environment.
  • Exposure to multi-site or multi-project environments, ideally in the mining context, is strongly preferred.
