REPORTING TO : PROCUREMENT OFFICERS
QUALIFICATIONS AND EXPERIENCE
A successful candidate should have the following qualifications and experience
• National Diploma in Purchasing and Supply.
• A post-Diploma qualification or higher qualification is an added advantage.
• Membership of a professional board is an essential.
• At least two (2) years’ post qualification experience level in purchasing and supply.
• Clean class 4 driver’s license.

DUTIES AND RESPONSIBILITIES:
• Ability to act in utmost confidentiality, honesty, reliability and responsibility.
• Ability to ensure that each procurement decision is based on adequate information to the extent that it is available and is made in good faith, for a proper purpose in accordance with the Procurement Act in the best interest of Council
• Problem-solving ability.
• Ability to work in teams demonstrating patience and flexibility.
• Preparing purchase orders, send copies to suppliers and inform departments originating requests.
• Responding to customer and supplier inquiries about order status, changes, or cancellations.
• Contacting suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
• Reviewing purchase requisitions in order to verify accuracy, terminology, and specifications.
• Preparing, maintaining, and reviewing purchasing files, reports and price lists.
• Comparing prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
• Working with internal stakeholders to determine and finalizing procurement needs, quality and delivery requirements.
• Ensuring compliance with the PPDPA Act (CAP 22:23).
• Coordinating receipt of goods and services and maintaining up-to-date procurement files.
• Making follow-up on payment of goods and services to ensure that they are delivered on time.
• Assisting Procurement Officers in tender preparations.
• Participating in tender opening and preparation of minutes for the Section meetings.
