Applications are invited from suitably qualified persons to fill the below mentioned positions that have arisen within the Authority.

The Procurement Assistant provides operational and administrative support to the procurement function to ensure the timely, transparent, and compliant acquisition of goods, and services in line with the Public Procurement and Disposal of Public Assets Act [Chapter 22:23], regulations, and the Authority’s internal policies.

Key Responsibilities

  • Assist in the preparation and processing of procurement requisitions in line with approved procurement plans.
  • Support sourcing activities including requests for quotations, tenders, and bid documentation and secretarial service to the procurement management unit.
  • Maintain accurate procurement records and documentation.
  • Ensure procurement activities comply with the Public Procurement and Disposal of Public Assets Act, regulations, and internal procurement procedures.
  • Assist in preparing submissions to the Procurement Committee.
  • Maintain proper audit trails for all procurement processes.
  • Assist in maintaining an updated supplier database.
  • Support communication with suppliers regarding quotations, delivery schedules, and clarifications.
  • Monitor supplier performance and flag non-performance issues.
  • Assist in drafting and administering purchase orders and contracts.
  • Follow up on deliveries to ensure goods and services are received on time and as specified.
  • Assist with physical inspection and verification of goods received.
  • Prepare basic procurement reports for management review.
  • Maintain procurement files for audit and compliance purposes.

Requirements

  • Bachelor’s Degree in Procurement, Supply Chain Management, Purchasing, or equivalent.
  • Professional certification e.g. CIPS is an added advantage.
  • Proficiency in MS Office applications and EGP systems. Knowledge of public procurement legislation. Good organizational and record keeping skills. Attention to detail and integrity. Strong communication and interpersonal skills.
  • Strong attention to detail and ability to work within tight deadlines.
  • One (1) year experience in procurement or supply chain operations. Relevant experience in the public sector is an added advantage.
