Reporting to the Vice Chancellor, the Personal Assistant provides high-level administrative support to the Vice-Chancellor whose activities are multi-dimensional, extremely complex and externally visible which are paramount to the success, reputation and integrity of the University.

The duties shall include, but not be limited to the following:
- Organizing and maintaining the Vice Chancellor’s diary,
- Producing documents, briefing papers, reports and presentations for meetings,
- Arranging travel and accommodation for the Vice Chancellor,
- Preparing all correspondence and other documentation as requested by the Vice Chancellor,
- Providing a fully confidential and efficient filing system for the Vice Chancellor,
- Performing budget maintenance such as maintaining inventories of office supplies; preparing, checking or processing requisitions and maintaining accounts in accordance with accounting practices,
- Performing general office services to include opening, sorting and distributing mail and preparing outgoing mail; preparing and sending form letters and composing routine letters; copying documents; scanning documents; assisting the public in completing forms; and related duties.
- Providing high level Secretarial support in VC’s meetings.
- Acting as first point of contact for the Vice Chancellor and act on his behalf responding to issues as they arise in collaboration with the senior management team.
- Acting in the best interests of the University at all times and support the local governance processes and develop timelines to ensure that external and internal reporting and compliance requirements are met effectively.
- Perform any other duties as assigned from time to time.
Qualifications and Experience
The post requires a mature person who possesses the following: –
- Diploma/HND in Secretarial Studies.
- A first Degree in Office Management/Administration/Human Resource Management/English and Communication or equivalent.
- Masters Degree is an added advantage.
- At least 5 years’ experience in a similar position, preferably in a university setup.
- Knowledge of higher education structures and university governance.
- The position requires a mature person who possesses the following attributes:
- Team player, effective communication and excellent interpersonal skills, written, computer skills, ability to make well-reasoned decisions, thorough understanding of developments in higher education locally and internationally. Demonstrate experience in terms of engaging with high profile professionals.
- Exceptional interpersonal skills including ability to work with a diverse team and interact professionally with culturally diverse internal and external stakeholders.
- Demonstrate competences in Ms Word, Ms PowerPoint, Intermediate Excel and Power Point is essential.
- A person of high maturity, integrity and flexibility with a solid character and a positive attitude towards work.
