Job Purpose

Under the direct supervision of the Representative, the Personal Assistant will provide support to the Office of the Representative by coordinating and monitoring relevant business processes, procedures and activities, paying attention to detail and adhering to deadlines.

Key Responsibilities

  • Provide administrative support to the Office of the Representative.
  • Provide general research support from records and reports and prepare periodic and ad hoc reports on programme and project activities.
  • Prepare and maintain records, documents and control plans for monitoring administrative and financial functions.
  • Manage the Representative’s schedule and work programme, including official receptions.
  • Keep the Representative informed through relevant information, reports and status updates.
  • Maintain telephone and address directories of stakeholders.
  • Organise meetings and coordinate agendas and necessary documentation for meetings, workshops and conferences.
  • Act as secretary to meetings.
  • Maintain the Representative’s filing system.
  • Draft routine correspondence.
  • Provide other administrative and logistical support as required.

Requirements

  • Completed Secondary Level Education is required. A first-level university degree is desirable.
  • At least six years of relevant experience in administration or office management is required.
  • Candidates should have thorough knowledge and use of relevant computer software applications. Understanding of the UN system is an added advantage.
  • Fluency in English is required. Knowledge of other official UN languages is desirable.
