Applications are invited from suitably qualified and experienced candidates to fill the post that has arisen within the Insurance and Pensions Commission.
Duties and Responsibilities include:
Role
The Personal Assistant (PA) to the Commissioner provides comprehensive administrative, logistical, and executive support to ensure the Commissioner’s office functions efficiently and professionally. The role encompasses confidential liaison functions, high degree of discretion, attention to detail, and interpersonal acumen.
- Administrative and Office Management

Manage the Commissioner’s calendar, appointments, and daily schedule.

Organise internal and external meetings, including logistics and documentation.

Manage official correspondence and reports.

Maintain confidential filing systems, both electronic and physical, for efficient document retrieval.

Communication and Coordination
-
Handle incoming calls and correspondence on behalf of the Commissioner.

Liaise with departments, stakeholders, and government agencies on routine and priority matters.

Coordinate the Executive Committee Meetings, report writing, and tracking issues.

Coordinate the weekly Exco Matrix, consolidation of updates, and tracking issues.

Coordinate responses to meeting requests, invitations, and high-level engagements.

Ensure timely flow of information and appropriate follow-up on pending issues.

Travel and Event Planning

Arrange local and international travel, including bookings, visas, and itineraries.

Prepare travel briefs and expense reports post-travel.

Support event planning, including protocol management for official visits or engagements.

Confidentiality and Integrity

Exercise discretion in handling confidential information and sensitive matters.

Serve as a gatekeeper, ensuring that matters requiring the Commissioner’s attention are prioritized.
Required Competencies and Capabilities

Excellent communication and organizational skills.

Strategic awareness and understanding of public sector protocols.

Proficiency in executive-level document preparation.
Skills

Advanced-level skills in Word and Microsoft PowerPoint

At least an intermediate-level knowledge of Microsoft Excel
Qualifications and Experience
The ideal candidate should have the following qualifications and experience:
a) Higher Secretarial Diploma from a reputable institution
b) A Business Studies Degree.
c) Minimum 3 years relevant experience.
