Position: Personal Assistant to Director Legal & Corporate Affairs

JOB TITLE: PERSONAL ASSISTANT

Role Summary
To provide comprehensive administrative and executive support to the Director of Legal and Corporate Affairs, ensuring efficient coordination of board activities, event management, preparation of board packs, and facilitation of travel and visa arrangements. The role requires exceptional organizational skills, attention to detail, and the ability to manage sensitive information.

Key Responsibilities:
1. Board Calendar Management
a) Develop and maintain the annual board and committee meeting calendar.
b) Communicate meeting schedules and updates to all stakeholders.
2. Board Pack Preparation
a) Compile, format, and distribute board packs in compliance with governance standards.
b) Liaise with departments to gather reports and supporting documents.
3. Event Management
a) Plan and execute corporate events, including board meetings and stakeholder engagements.
b) Manage logistics and budgets for the Director’s office.
4. Travel & Visa Coordination
a) Arrange comprehensive travel itineraries, including flights, accommodation, and ground transport.
b) Handle visa applications and ensure timely approvals.
c) Maintain accurate travel records and expense reports.
5. Project Management (Added Advantage)
a) Assist in planning, monitoring, and reporting on departmental projects.
b) Track milestones and ensure timely completion of deliverables.
c) Coordinate with cross-functional teams for smooth execution.
6. Administrative Support
a) Manage the Director’s diary, appointments, and correspondence.
b) Maintain filing systems for legal and corporate documents.
c) Act as the first point of contact for internal and external stakeholders.

Qualifications:
a) Bachelor’s degree in business administration, Office Management, Research or related field.
b) At least three (3) years’ administrative experience.
c) Strong communication, organization, and IT skills.
d) High integrity, discretion, and attention to detail.
e) Proficiency in MS Office and document management systems.
f) Event planning and coordination experience.

Added Advantage:
Advanced travel coordination skills (itineraries, bookings, visa processing).
