Key Responsibilities

  • Support the coordination and efficient operation of the call centre.
  • Provide migrants with information about health assessments by telephone.
  • Register migrants in the IOM database.
  • Schedule and confirm medical appointments.
  • Receive and communicate messages for medical staff and beneficiaries.
  • Prepare master lists of migrants scheduled for health assessment processing.
  • Maintain daily health assessment statistics and update records.
  • Contribute to customer satisfaction evaluation and management.
  • Receiving applicants and explaining the registration process.
  • Checking applicants’ identities.
  • Entering applicant biodata into the appropriate platform.
  • Taking applicant photographs using a webcam and uploading them to the appropriate platform.
  • Printing medical forms, consent forms and other required documents.
  • Receiving completed medical examination forms, X-rays and other documentation and updating their receipt in the database.
  • Preparing, sorting and packaging medical files and other documents during mobile migration health assessment missions.
  • Transmitting completed medical forms, DNA packages and other medical documents electronically or by courier.
  • Maintaining files of incoming and outgoing letters, reports, memoranda, emails, faxes and IOM medical documents.
  • Checking, printing and photocopying bank deposit slips or other proof of payment.
  • Performing other duties as assigned.

Requirements

  • A university degree with at least three years of relevant work experience ; or
  • A secondary school diploma with at least five years of relevant work experience .
  • A certificate in IT/Data Entry is considered an advantage.
  • Experience in computer data entry, elaboration and analysis or in a call centre in a busy institution, preferably a medical institution.
  • A typing speed of at least 60 words per minute .
  • Knowledge of data management principles.
  • Knowledge of customer care.
  • High computer literacy in Windows and MS Office.
  • Knowledge of web page design is an advantage.
  • Knowledge of medical terminology is an advantage.
  • Previous secretarial and archival experience is an advantage.
  • Previous experience with NGOs or international organizations is an advantage.
  • At least intermediate-level MS Office skills.
  • Leadership skills, desirable.

  • Fast and accurate typing.
