Applications are invited for the following position that has arisen in the University:-Examinations Office Administrative Assistant/Senior Administrative Assistant (1 Post)
Duties And Responsibilities
Roles and Responsibilities
- Coordinating the smooth running of examination sessions.
- Receiving and sending draft examination question papers to External Examiners.
- Ensuring examination question papers are reproduced, packed and kept securely.
- Drawing up the examinations Timetable.
- Assisting in the publishing of results and sending to Schools/Institute after the sitting of Senate Executive Committee Meeting.
- Closely monitoring the implementation of Senate Executive Committee decisions on students’ profiles for Termination of Studies (Appeals) Committee meeting.
- Keeping accurate and updated inventory of certificates and place orders to replenish stocks.
- Monitoring printing of certificates
- Issuing graduate certificates after graduation in collaboration with School Administrators.
- Organizing and Servicing University Committees
- Drawing up and circulating the Agenda and papers for meetings.
- Compiling Minutes of Meetings.
- Assisting with Human Resources Management through supervision of junior staff in the unit
- Allocation of funds in Departmental Votes and keeping an up to date Commitment Register.
Qualifications And Experience
Person Specification
Requirements
The applicant should be a holder of a Social Science degree or related area, have a minimum of two (2) years relevant post qualification experience in university administration at a management position. A relevant Master’s degree will be an added advantage. Knowledge of statutes and acts that govern higher education is a requirement and an in-depth knowledge of university student registration and graduation processes, systems, policies and procedure is essential. The applicant should possess good writing and oral communication skills. Good digital skills are a requirement.
