Events Coordinator (1 Post) Join our team at the National University of Science and Technology. Position Overview: We are seeking a detail-oriented Event Coordinator to manage the end-to-end execution of our events. You will handle everything from venue compliance and technical setup to vendor negotiations and post-event financial reconciliation.

Key Responsibilities

  • Coordinate venue selection, site visits, and room setup in compliance with set regulations.
  • Source and negotiate contracts and manage relationships with services providers including caterers, decorations, electricians and security providers.
  • Prepare details cost estimates, track expensed, and reconcile post-event finances.
  • Negotiate favourable terms to maximize return on investment.
  • Oversee décor, branding signage and technical setup including lighting, sound systems and staging.
  • Troubleshoot and solve problems that may affect smooth flow of events.
  • Identify lessons learned and areas for improvement.

Requirements

  • Bachelor of Science Degree in hospitality, business administration, marketing, communications or any social science.
  • Minimum of one (1) year working experience in events, hospitality, marketing and communication.
  • Good Interpersonal communication skills.
  • Understanding of protocol issues.
  • Ability to assess venue suitability, check safety compliance, accessibility and layout logistics.
  • Floor plan design skills – seating, stages, exhibition booths and traffic flow for optimal guest experience.
  • Ability to incorporate logos, signage and corporate identity into décor and event materials.
  • Coordinate digital branding using projection, LED screens and digital signage for modern branding.
  • Rapid problem-solving skills when décor branding venue or equipment issues arise.
