Digital Records Assistant
The Digital Records Assistant will support the digitisation, management and preservation of organisational records, facilitating the transition of physical records into electronic systems while ensuring the integrity, security and accessibility of digital information.

Key Responsibilities

  • Digitise physical records by scanning, indexing and uploading records into the Electronic Document Management System (EDMS).
  • Convert documents across various formats and ensure files are OCR-enabled.
  • Maintain and update electronic records and repositories.
  • Monitor record movement and process access and retrieval requests.
  • Classify, tag and file electronic records according to retention and disposal schedules.
  • Support the implementation and administration of the Electronic Document and Records Management System.
  • Manage electronic records workflows.
  • Uphold the security, integrity and accessibility of digital corporate records.
  • Support internal and external audits by providing accurate and timely digital records.

Requirements

  • Mature individual aged 25+ years.
  • Strong analytical and problem-solving skills.
  • Ability to maintain strict confidentiality of corporate information.
  • Strong ICT aptitude and digital system orientation.
  • Excellent attention to detail, accuracy, integrity and accountability.
  • Good organisational and planning skills.
  • Ability to adapt to emerging technologies and digital transformation initiatives.
  • Degree or Diploma in Records Management, Information Management, Library and Information Science.
  • Degree will be an added advantage.
  • Minimum of 2 years’ experience in digital records management or electronic documentation management.
  • Experience with EDRMS, SharePoint or similar document management platforms will be an added advantage.
  • Experience in document scanning, indexing, metadata management and digital filing systems.
  • Exposure to records digitisation projects and electronic workflow management will be an added advantage.
