Key Responsibilities

  • Prepare and process monthly payroll for academic, administrative, and support staff.
  • Capture and update employee payroll information, including appointments, promotions, transfers, allowances, and terminations.
  • Verify payroll input data before processing.
  • Ensure timely payment of salaries, wages, allowances, and benefits.
  • Calculate and process PAYE in accordance with Zimbabwe Revenue Authority (ZIMRA) requirements.
  • Process NSSA contributions and ensure timely remittance.
  • Administer pension contributions and medical aid deductions.
  • Ensure compliance with labour legislation and government regulations affecting payroll administration.
  • Maintain accurate payroll records and employee files.
  • Ensure confidentiality and security of employee payroll information.
  • Supervise Payroll Clerks and Accounting Assistants within the payroll section.
  • Archive payroll documentation according to university policies and statutory requirements.
  • Provide guidance and training on payroll procedures and systems.
  • Liaising and coordinating with Academic Registry.
  • Managing student selection, admission and registration.
  • Maintaining student and staff records.
  • Producing degree and course lists as well as teaching and examination timetables for undergraduate and postgraduate programmes.
  • Managing scholarship matters.
  • Assisting in the design of new degree structures, amendments to degree regulations and preparation of necessary documentation, and monitoring implementation.
  • Monitoring students’ progress and maintaining and presenting statistical information on students and staff.
  • Providing student counselling.
  • Organising training workshops and seminars.
  • Assisting with graduation ceremonies.
  • Managing the recruitment of academic, technical and other staff for the School and its Departments.
  • Preparing draft advertisements and processing job applications.
  • Servicing Academic Appointment Boards, Selection Boards, Examiners’ Boards and other Institute Committees.
  • Handling general personnel matters on promotions, resignations and leave.
  • Conducting induction programmes for new staff.
  • Supervising junior staff.
  • Compiling relevant reports.
  • Carrying out any other duties assigned by management from time to time.

Requirements

  • At least 5 O’ Level passes including English Language and Mathematics or Accounts.
  • A HEXCO National Diploma/Part B CIS/ACCA Stage 2/CIMA Level 2 or equivalent.
  • At least two years relevant post-qualification experience.
  • A Social Science degree from a recognised university.
  • At least four (4) years relevant post-qualification experience, preferably in a university environment.
  • A Master’s degree would be an added advantage.
  • Knowledge of academic institutions’ procedural cycles connected to Departments, Schools, Admissions, Examinations and Centres of Excellence.
  • Ability to provide administrative oversight to the entire School.
  • High level of computer literacy.
  • Excellent report-writing skills.
