Our client is seeking an Aide to an Executive Team Member who will provide close, day-to-day support across official, diplomatic, and business engagements. The role requires an individual who is comfortable operating in diplomatic and protocol-sensitive environments, with prior experience within an embassy, diplomatic mission, or similar high-level setting. The successful candidate will be expected to accompany the executive closely during official functions, meetings, business engagements, and international travel, requiring a high level of professionalism, discretion, physical readiness, and adaptability. Key Responsibilities

  • Liaise with embassies, diplomatic missions, and protocol offices on behalf of the executive.
  • Advise on and apply correct diplomatic protocol and etiquette at official functions, meetings, and receptions.
  • Assist with visa applications, accreditation, and other documentation required for engagements with diplomatic missions or foreign officials.
  • Coordinate arrangements for meetings and events involving dignitaries, diplomats, or foreign delegations.
  • Maintain and grow a working network of contacts within the diplomatic and protocol community.
  • Accompany the executive to official functions, meetings and engagements, both locally and abroad.
  • Manage correspondence, invitations, and communications with officials and dignitaries.
  • Prepare briefing notes ahead of engagements, covering attendees, protocol and background information.
  • Maintain strict confidentiality regarding the executive’s engagements, contacts, and affairs.
  • Support the executive with any other official or personal matters as required.
  • Be able to stand, walk, and remain alert for extended periods during official functions and engagements.

Requirements

  • A relevant Diploma or Degree in International Relations, Diplomacy, Political Science, or a related field is an advantage.
  • Prior experience working in or with an embassy, diplomatic mission, or protocol office is required.
  • A valid passport and eligibility to travel internationally without restriction. Must be able to travel at a moment’s notice, including on domestic or international trips, as this is a core requirement of the role.
  • A valid driver’s licence is required.
  • Well spoken, articulate, and comfortable communicating professionally with executives, diplomats, and dignitaries.
