Under the direct supervision of the Administration Manager and working as an integral part of the organization’s team, the incumbent will be ensuring maximum professionalism and adding capacity in supporting the mandate with other stake holders.

DUTIES AND RESPONSIBILITIES

Administrative Assistant will be responsible for the following duties:

  • Maintains and handles the database of new buses
  • Facilitates the recording and safekeeping of servicing materials in stores office
  • Controls and manages supply related items and major services
  • Maintains log books and records on assigned vehicles
  • Maintains office records and establishes reference files on various subjects for the bus servicing sub-unit
  • Collects information and advises the supervisor of impending
    changes to materials required for the service of new buses
  • Compiles reports on outsourced jobs
  • Manages and tracks the in/out of the servicing material to servicing depots
  • Implements internal controls and procedures designed to ensure strict compliance with the standard operating procedures
  • Conducts daily checks to ensure the mechanical soundness and overall cleanliness of pool vehicles prior to operating, by verifying and undertaking checks of the following: petrol, oil and water levels, electrical system, Wakes, tire pressure and
  • Manages and inspects pool vehicle log books and insure that the fuel expenditure is recorded.
  • Assists in the preparation and compilation of reports on time to the Head of Administration
  • Establishes and maintains productive partnerships with other stakeholders

KEY SKILLS REQUIRED

  • Extensive knowledge of logistics and fleet management and control guidelines, direct Wes and procedures
  • Ability to develop, maintain and operate logistical and fleet management control systems.
  • Ability to deliver outputs for which one has responsibility within prescribed time, cost and quality standards in compliance with organizational regulations and rules.
  • Excellent interpersonal skills.

QUALIFICATIONS

  • Diploma in Logistics and transport
  • Training in logistics and fleet management would be an asset.
    Strong database management skills would be an advantage.
  • Fluency in written and spoken English
  • Three to five years experience in the area of transport or logistics is required.
