Northern and Southern Division
Under the direct supervision of the Administration Manager and working as an integral part of the organization’s team, the incumbent will be ensuring maximum professionalism and adding capacity in supporting the mandate with other stake holders.
DUTIES
- Provides administrative support to the Division Operations Manager and other Division-level staff
- Utilizes expert knowledge through policy implementation to efficiently and effectively manage overall office operations, and seeks out continuous improvements
- Represents the divisional office in its interactions with all levels of staff and management, and utilizes a clear, professional, and executive communication style
- Coordinates and collaborates with the Administration Manager to ensure effective support is provided both in times of heavy
- Independently executes ad hoc projects or requests as identified by the Division Operations Manager.
- Produces and submits monthly reports to the Administration Manager
- Is sues airtime a nd fuel to all employees entitled to same
- Coordinates travel for divisional staff as guided by policy
- Ensures ambiance of the Divisional offices
- And other duties that may be assigned from time to time
KEY SKILLS REQUIRED
- Knowledge of office administration procedures.
- Managing multiple and changing priorities at once.
- Diary Management
- Good computer skills including Word, Excel, MS Outlook, PowerPoint.
- Managing administrative processes.
- A good level of English spelling and grammar.
- Attention to detail and high level of accuracy.
- Ability to multi-task.
PERSONAL SKILLS
- Ability to work as part of a team,. High level of discretion and Attention to detail.
QUALIFICATIONS
- A degree in Administration or related field.
- Prior administrative experience.
- Excellent computer skills.
- Desire to be proactive and create a positive experience for others.
