Job Summary
Promoting the image and business of Saint-Gobain as the first point of contact for visitors and callers while undertaking other administrative tasks.
Duties And Responsibilities
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring enquiries.
- Directs visitors and informs the relevant member of staff of their arrival/appointment.
- Maintains security by following procedures; monitoring logbook; issuing of visitor badges and ensures visitors slips are signed off.
- Induction of main office visitors, employees and contractors.
- Distributes office supplies (stationery and Kitchen Supplies) to staff and maintain adequate stock.
- Provides logistical support for meetings held onsite. I.e. Preparation of meeting rooms and arrangements for catering provisions.
- Books flights, accommodation and car hire services for employees travelling on business.
- Maintains and issues petty cash as well as reconciliations.
- Ensure that management fuel is resupplied timeously every month.
- Assisting in the formulation of the quarterly newsletter.
- Purchasing of awards and ensuring the awards ceremonies run smoothly.
- Carrying out safety checks at the canteen, surveys and audits.
- Conduct team building sessions.
- Facilitating the success of all special occasions conducted by the organisation.
- Typing, printing and filing of document for respective departments.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Participating in main office SHE issues.
- Housekeeping.
Qualifications And Experience
- Diploma / Degree in Administration
- 1 year working experience
- Good knowledge of all office administration systems and tools
- Good command of computer applications.
- Positive attitude
- Organisational ability
- Good communication skills.
- Attentive Listening
