Residence Manager : Maternity Cover
To run the British Ambassador’s Residence in Harare. The jobholder is responsible for day-to-day management of the facility, including oversight of staff, budgets, service delivery, procurement, housekeeping and other operational functions. The jobholder also has responsibility for ensuring that official events and functions are delivered to the highest professional standards and directly contribute to enhancing the UK’s reputation among our stakeholders. This is a visible leadership role internally and externally: the jobholder has an important Front of House role for all Residence events.
Duties And Responsibilities
Administration:
Day-to-day management of Residence operations, including:
Planning and executing yearly residence strategy and project management in line with ‘Big Picture’ FCDO objectives.
Proactively plans and ensures the Residence daily operations are carried out to the highest standards, prioritising sustainable operational practices.
Responsibility for management of residence budget of approx. $40,000. Tight budget management – reducing cost of running residence through focus on value for money, efficiency and sustainability.
Leads on supplier selection process to ensure value for money and consistently high standards of health and safety, delivery and sustainability.
Monitors standards of food hygiene and delivery, waiter service, selection of menus and drinks purchasing and supervision of cleaning, laundry and other daily duties undertaken.
Deals with telephone calls, email correspondence and managing workmen and visitors promptly and professionally.
Maintains the Residence accounts, including responsibility for two imprests, as well as Ambassador’s personal expenditure and striving to see where cuts can be made without affecting service delivery.
Maintains a network of contacts to provide outside catering, additional staff etc.
Liaises with the Embassy’s corporate services regarding regular maintenance, updating furnishings, ordering of equipment, monitoring health and safety practices
Management, coordination and supervision of Residence and Estates ( communicating with estates manager) Gardenning contract.
Human Resources:
Management responsibilities for all Residence staff, including:
Supervision of the Residence team (4 people); drawing up duty rosters; managing workmen and external contractors.
Oversight of day to day duties of residence gardening team (5 people);
Promote culture of continuous improvement, sustainability and innovation – coordinates with the HR for the recruitment, training and development of oneself and that of the residence team.
Keeps records of Residence staff leave and sickness absences, authorising overtime.
Assists and trains team in solving operational problems
Contribute to proposals on re-structuring
Event Management:
Overall responsibility for ensuring that Residence events and general hosting is delivered to the highest professional standards and directly contribute to enhancing the UK’s reputation among our stakeholders:
Liaises with the Ambassador’s PA regarding forthcoming events at or visitors to the Residence.
Contributes ( Liasing with Communications team) to yearly events strategy/plan.
Facilitates the efficient operation of a large range of events: which includes delegating tasks to the team such as the catering, the shopping, hiring of additional staff, flowers, menus, place settings and ensuring the Residence is clean and fit for purpose.
Manages arrangements for official guests and visitors at the Residence.
Front of House duties for all events
Stock-Keeping:
Maintains accurate stock records , reordering as necessary.
With the Chef, maintain records of meal and event costing.
Maintain inventories of Residence assets such as furniture, pictures, Government Art collection etc
Resources managed (staff and expenditure):
4 FCDO Staff, 5 contracted gardeners, Garden Contract, Residence Projects inclusive of Budgets. Hospitality Budget of approx. $40,000 and cash imprest of $1000
Qualifications And Experience
Essential qualifications, skills and experience
Professional background/experience in hospitality or events sector.
Excellent command of spoken and written English.
Excellent front of house and people management skills.
Excellent teamwork, interpersonal and sociability skills.
Resource management experience.
Computer proficiency in Microsoft Office (e.g Word, Excel, Power Point, Outlook and Valid driving licence.
Desirable qualifications, skills and experience
Budget management, Health and safety knowledge, experience in an international organisation
Required competencies
Making Effective Decisions, Leading and Communicating, Delivering Value for Money, Managing a Quality Service
