Sales & Reservations Assistant Opportunity
Location: Newlands, Cape Town, South Africa
Must be legally entitled to work in South Africa.
Office-Based. Full-Time. Hours: Mon – Fri, 8h30 – 17h00
Reports to: Sales Manager and ultimately Head of Sales
Start Date: on or before Monday 01 June 2026
Job Summary:
We are seeking a highly organized, client-focused, and detail-oriented Sales & Reservations Assistant to join our team. The ideal candidate will be a key support member for our sales and reservations team, assisting with administrative tasks, inquiries, and industry communication. This role requires a combination of strong administrative skills, a friendly and professional demeanour, and a proactive attitude.
Key Responsibilities:
- Trade Partner Interaction & Sales Support:
- Provide support for sales inquiries via phone, email, and in-person.
- Provide accurate and detailed information about our offering, services and availability.
- Build & maintain positive relationships with new and existing industry partners.
- Address and resolve inquiries or issues in a professional and timely manner.
- Update agents on guests stays and feedback.
- Administrative & Reporting Support:
- Assist the sales team in document creation and formatting, scheduling meetings, planning trips (including arranging sales calls), booking travel (e.g. flights & accommodation), managing calendars, and handling correspondence, and other general office administration tasks.
- Maintain and update customer records and the CRM system.
- Generate and distribute reports as necessary.
- Stay up-to-date with product knowledge, promotions, and industry trends.
- Reservations & Booking Management:
- Generate quotes and support reservation enquiries.
- Manage and update the booking calendar and availability in real-time.
- Input booking details, ensuring these are accurate and entered correctly into the reservation system.
- Create and populate guest itineraries.
- Handle payments and deposits, ensuring secure and accurate transactions.
- Maintain organized and up-to-date records and booking files.
- Send booking confirmations, invoices, and pre-arrival information to clients.
- Debtors & Financial Administration:
- Send monthly statements to key partners.
- Accurately allocate payments received to the corresponding bookings.
- Review and investigate payment and booking queries, working to resolve discrepancies.
- Reconcile payments by checking online payment services and bank statements to ensure all transactions are properly recorded.
Qualifications:
- Education & Experience:
- High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Hospitality, Business, or a related field is a plus.
- Proven experience in a customer service, sales, or reservations role, preferably within the hospitality, travel and tourism industry.
- Proven experience in a customer service or sales support role.
- Experience with basic accounting or financial administration tasks is highly desirable.
- Skills & Competencies:
- Excellent communication and interpersonal skills, both written and verbal.
- Strong organizational and time-management skills and exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency with reservation software (e.g. ResRequest) and CRM systems (e.g. Hubspot) will be a strong advantage.
- Ability to work independently and as part of a team in a fast-paced environment.
- A friendly, professional, and patient demeanour with a strong guest-centric attitude.
- Problem-solving abilities and a proactive approach to challenges.
