Job Summary
To provide confidential, comprehensive and effective support and personal assistance to the Chief Operating Officer (COO) .
The post holder will:
• Cover the full range of administrative and personal assistant functions, including
assisting with research and the preparation and production of letters, reports, policies and other communication papers for the COO.
• Have regular meetings with the COO to discuss workload and priorities, otherwise exercise personal
initiative, judgement and discretion to initiate and progress routine work in the absence of the COO.
• Effectively manage, coach and provide leadership to the COO
• Adopt and promote the Society’s vision, values and goals at every opportunity.
• Form part of the PA support network and be fully trained in the administration of Society committee meetings, to provide cover in the event of PA absence.
• Build and maintain working relationships with internal and external stakeholders
Duties And Responsibilities
- Manage the COO’s diary, contacts, time management and prioritization of meetings, being aware of committee/meetings cycle, potential conflicts and other work, diary pressures and deadlines.
- Lead, manage and coach the Commercial Assistant, overseeing work plans and ensuring objectives and responsibilities are met.
- Assist with the preparation of papers in accordance with formal committee/meetings cycle including but not limited to: Society Executive, Board of Directors and sub-committees, AGM and Conference, and any other papers, policies or internal communications as required by the COO.
- Provide and maintain confidential, comprehensive and effective support and assistance to the COO and their Direct Reports.
- Facilitate meetings and/or events as required to include attendance at meetings, bookings, hospitality, accommodation, meeting schedules, preparation and issue of agendas and papers, take and issue formal minutes and follow-up action points of departmental, cross functional, and senior / Board level project meetings.
- Maintain open communication and work relationships with other employees as required to clarify the COO’s requirements and ensure
smooth progress and achievement of deadlines. - Supporting the COO in the formation and maintenance of a highly respected and high achieving teams that delivers its objectives
against the Business Plan. - Raise departmental purchase orders, claim expenses and book travel in line with policy and budget
Qualifications And Experience
- Bachelor’s degree required
- Administrative Support Experience
- Experience in a technical environment
- Knowledge of Microsoft Office
