Personal Assistant to the Vice Chancellor (1 Post)
Applicants must have at least a Higher National Diploma in Office Management/Secretarial Studies or equivalent and at least 5 Ordinary level passes including English language. Proficiency in a wide range of IT applications such as Word, Excel, Publisher and PowerPoint is a most Possession of a first Degree in Administration/Management or related field is an added advantage. Candidates should have a minimum of 5 years’ post qualification experience providing administrative and secretarial support to Executives/Senior Management. Knowledge of University structures is an added advantage. The successful candidate will be expected to provide high level executive and administrative support to the Vice Chancellor and ensure the smooth coordination of activities in the Vice Chancellor’s Office.
Duties and Responsibilities
• Management of the Vice Chancellor’s Diary by scheduling appointments and meetings • Collating relevant papers and documents in preparation for scheduled briefings and meetings • Liaise with Heads of Departments/Sections including external high level professionals and stakeholders • Maintenance of office systems including information management • Production of quality reports, presentations, letters and memoranda • Management of a systematic manual and electronic filing system • Act as first point of contact for the Vice Chancellor’s Office and manage communication including highly confidential material • Management of mail by ensuring that all official correspondence is screened and directed to relevant Offices for auctioning to Handle telephone calls, attend to enquiries and queries and receive visitors Assist in the organisation of major University events and any other duties as assigned by the Vice Chancellor. Candidates who responded to on earlier advertisement for the post of Executive Personal Assistant need not reapply.
