Personal Assistant
QUALIFICATIONS
• 5 ‘o’ Levels including English Language
• Higher National Diploma in Secretarial Studies or equivalent
• At least 5 years working experience as a Secretary
• Proficiency in MS Word, MS Excel, Power Point
JOB REQUIREMENTS AND ATTRIBUTES
• Mature person with excellent public relations, communication and interpersonal skills.
• High level of honesty and integrity
• Self-motivated person who should be able to work with minimum supervision
• Excellent organisational skills
• Ability to pay attention to detail as well as multi-task
DUTIES AND RESPONSIBILITIES
Reporting to the Pro Vice Chancellor for Research and Academic Affairs the incumbent will among other things be responsible for the following:
• Providing secretarial support and services to the Office of the Pro Vice Chancellor for Research and Academic Affairs;
• Harmonizing diaries and scheduling appointments;
• Making travel and accommodation arrangements, nationally, regionally and internationally;
• Handling all incoming and outgoing telephone calls in a professional manner;
• Receiving and screening visitors
• Creating and maintaining a high level physical and electronic record management system
• Responsible for ordering adequate supplies of stationery and other office consumables;
• Preparation for meetings with external stakeholders as well as liaising with Committee Secretaries with regards to University committee meetings
• Dealing with incoming and outgoing mail whilst maintaining high standards of confidentiality;
• Any other duties as assigned from time to time.
