Gweru Centre Administrator: Local NGO

A local legal services NGO invites application from suitably qualified and experienced persons for the temporary post of Centre Administrator based in Gweru.
Under the supervision of the Centre Manager, the Centre Administrator is responsible for providing complete effective administrative support to the organisation in pursuance of its programme objectives and for the benefit of all stakeholders.
Duties and Responsibilities
Facilitate payment processing; Preparation of monthly variance and other donor reports; Compiles reports on specific donors; Arranges travel, prepares itineraries, registers staff as need for meetings and conferences etc; Compile Centre’s annual budget and links it to the work plan; Ensures all Centre assets are properly administered; Centre human resources duties; Prepares monthly, quarterly and annual statistics for the Centre for both legal services and legal education; Provision of secretarial support and running reception when necessary; Provides administrative support to lawyers and paralegals, ensuring their programmes run smoothly by providing funds, stationery, vehicles etc; Provides administrative support to the Library; Ensures availability and monitors distribution of IEC materials as well as attending to stock counts monthly; Monitors daily general office hygiene and cleanliness; Provides logistical support to ensure effective implementation of training strategy – organizing venues for workshops, travelling costs for participants and materials required for trainings; Supervision of Office Assistants; Any other duties as assigned by the Centre Manager.
Qualifications and Required Skills
Education: Minimum Diploma in Business Administration/ IAC/CIS or equivalent; IPMZ Diploma is an added advantage.
Professional Experience: Minimum three (3) years experience in an office administration preferably in an NGO environment; Solid knowledge of bookkeeping and reporting on donor funds is highly desirable.
Functional Competencies: High level of numeracy and logical thinking; Ability to establish positive working relationships at various levels, internally and externally; Strong organizational and follow-up skills; Excellent communication and presentation skills, both written and spoken.
Computer skills: Knowledge of Microsoft Office package.
