Job: Administration Assistant
Reports to the Administration Officer
PURPOSE OF THE JOB
To provide support in the management of administrative functions across the organisation, ensuring optimal performance in fleet operations, inventory control, facilities, and asset management.
The responsibilities of the job will include:
Inventory Management

Maintain adequate stock levels and accurate inventory records.

Conduct regular inventory checks to identify discrepancies and ensure accuracy.

Process purchase requisitions and track deliveries from suppliers.

Coordinate with departments to forecast inventory needs and plan replenishments based on demand.

Process stores requisitions to departments when required.

Produce weekly stock usage reports.

Coordinate monthly stock takes in line with policy guidelines.

Ensure compliance with internal controls and audit requirements.
Fleet Management
-
Track vehicle service and maintenance to ensure timely service and repairs.

Design and implement vehicle cleaning schedules.
-
Maintain records of vehicle registrations and insurance to ensure compliance with transport regulations and safety standards.

Leverage the fleet tracking system for post-trip fuel usage reconciliations.
-
Coordinate driver assignments and ensure compliance with safety regulations.
-
Maintain and update vehicle service and maintenance logs.
Asset Management
-
Coordinate maintenance and repair tasks for building infrastructure and systems.
-
Monitor utilities and rates bills to ensure timely payments.
-
Supervise outsourced cleaners and internal staff to ensure adherence to cleaning schedules and a clean workplace.

Maintain records for cleaning and maintenance.
Facilities Management
-
Coordinate periodic walkthroughs to assess asset condition and facilitate timely repairs.

Monitor asset movements and ensure asset locations are updated.

Lead asset verifications and draft reports for management consideration.

Update office asset inventories.

Maintain records for asset repairs, movements, and inventory.
Qualifications and Experience

Education: Degree in Supply Chain Management, Transport and Logistics, or Business Management.

Certification: Must have at least a CIPS (Chartered Institute of Procurement & Supply) or CILT (Chartered Institute of Logistics and Transport) Diploma.

Technical Proficiency: Must be proficient with SAP Enterprise Resource Planning (ERP) system.

Experience: Minimum 3 years of experience in asset management, fleet management, facilities management, and inventory management.
