To ensure the smooth running of organizational strategic programmes by making goods and services available in
the right quantity, quality, price, and delivery to the right place at the right time in order to minimize potential risk
to the organization in line with PSH global procurement and donor guidelines the sole purpose being to serve

Duties And Responsibilities
• Ensure timely Procurement of goods and services required by the organization, including but not limited to health commodities, packaging, promotional materials, and consumables.
• Reviews Procurement Tracker at least once a week to ensure timely processing of approved requisitions by self & direct reports.
• Track follow up & expedite purchase orders to ensure timely delivery of goods & services. Ensure relevant action is taken until PO’s are closed.
• Reviews PO Commitments Report monthly to ensure regular clearing of false commitments and closure of PO’s.
• Provides day to day operational support to Procurement Officers as guided by Procurement Manager.
• Solicits for and evaluate quotations from foreign and local suppliers and compile comprehensive bid analysis for procurements as assigned.
• Review bid analysis/ POs compiled by Procurement Officers and endorse/approve as necessary within assigned dollar value thresholds.
• Negotiates for the best value for money in consultation with the Procurement Manager (price, quality, delivery, and payment terms).
• Updates user departments regularly about the status of their orders up to delivery.
• Manages vendor performance / supplier account, through facilitating payments, conducting vendor site / factory visits and handling supplier performance related issues.
• Works hand in hand with the Contracts Officer in drawing up and managing contracts for providers of goods and service providers.
• Compiles & analyses procurement data and submits information to the Procurement Manager, for planning, budgeting and decision making.
• Facilitate timely and smooth customs clearance of imported goods through ZIMRA, by availing documents for processing of relevant duty rebates in time.
• Facilitates application for Duty Rebates, Special Import Permits from MCAZ and Ministry of Industry & Commerce.
• Ensures maintenance of filing system which ensures clear audit trail and enhances expediting & tracking of vendor performance especially for contracts.
• Arranges for secure, safe, and cost-effective storage of goods whenever necessary through liaising with the Warehouse team on special storage condition requirements as necessary
Qualifications And Experience
• MCIPS/Degree in Purchasing & Supply Management or equivalent.
• Membership of a relevant professional body such as CIPS or CILT a definite advantage.
• At least 5 years working experience within procurement field preferably with an NGO or in the Social/Health sector.
• Computer skills – Word, Excel, PowerPoint, Lawson ERP, and ability to trouble shoot.
• Valid, clean driver’s licence is an added advantage.
