Background

Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants. Context

Zimbabwe continues to see significant migratory movements through southern Africa and vice versa through Beitbridge bordering district. From the BB hub, IOM Zimbabwe operates a number of projects, including Emergency Assisted Voluntary Return Programmes, Social cohesion and humanitarian Covid-19 assistance. While every project has a dedicated Project Manager based out of Harare.

Under the overall supervision of the Chief of Mission and the direct supervision of the Head of Programe, the successful candidate will be responsible for the coordination of the activities implemented by the different teams within the area of responsibility of Beitbridge and the administration of the sub-office.

Core Functions / Responsibilities

Administer the day-to-day sub-office management, including the maintenance and functioning of the office; Support the Project Managers in overseeing the day-to-day activities implemented out of the Beitbridge sub-office; Maintain good relationships with local authorities and partners and organize meetings for the Project Managers, Chief of Mission and donors as may be required; Report any sudden changes to the overall migration dynamics in Beitbridge or the wider south and flag any arising issues to the respective project managers; Participate in specific monitoring exercises as assigned; Conduct preliminary analysis of the overall situation and raise arising issues within the hierarchy to the required project or unit; Keep track of different work plans established within the sub-office to avoid overlap and meeting of goals; Flag and bring to the attention of the project manager delays or challenges regarding compliance issues with the donor requirements; Participate in specific field monitoring missions as required; Provide administrative backstopping support for the Project Manager or the Project officers; Prepare inputs for project development according to specific needs and situation analysis in accordance with IOM project development standards in close coordination with the Chief of Mission; Perform such other duties as may be assigned.

Languages

Proficiency in written and spoken English.
