Frequently Asked Questions

What qualifications or certifications are typically required for a Central Records Clerk role at the University of Zimbabwe?

Applicants usually need a minimum of a National Diploma or Bachelor’s degree in Records Management, Library and Information Science, or a related administrative field from a recognised Zimbabwean institution. Relevant short courses from ZIMSEC, NTA, or the National Archives of Zimbabwe—such as those in records classification, retention scheduling, or digital archiving—are highly valued.

What does a typical day look like for a Central Records Clerk in a Zimbabwean university setting?

Daily tasks include sorting, indexing, filing, and retrieving physical and electronic academic and administrative records; maintaining confidentiality and compliance with Zimbabwe’s Access to Information and Protection of Privacy Act (AIPPA) and the National Archives of Zimbabwe Act. Clerks also support audits, respond to internal information requests, and assist with records transfers to the University Archives or National Archives as per retention schedules.

How does workplace culture and expectations differ for administrative roles like this in Zimbabwe compared to other countries?

Zimbabwean public institutions such as the University of Zimbabwe emphasise respect for hierarchy, punctuality, formal communication, and adherence to procedural protocols—especially around record integrity and accountability. Teamwork is expected, but decision-making often follows established lines of authority, and discretion in handling sensitive staff or student records is non-negotiable.

What realistic career progression paths exist for a Central Records Clerk within the Zimbabwean public university system?

With experience and further study (e.g., a postgraduate diploma in Information Management), clerks may progress to Senior Records Clerk, Records Officer, or Assistant Archivist roles. Long-term growth could lead to positions such as University Records Manager or liaison roles with the National Archives of Zimbabwe, especially with demonstrated competence in digitisation and compliance management.

What benefits—like leave, medical aid, or pension—can a Central Records Clerk expect when employed by the University of Zimbabwe?

Employees are covered under the National Social Security Authority (NSSA) pension scheme and entitled to statutory annual leave (22 working days), sick leave, and maternity/paternity leave as per Zimbabwe’s Labour Act. Medical aid is typically provided through the University’s group scheme, though coverage levels depend on current institutional policy and collective bargaining agreements with unions like the Zimbabwe Congress of Trade Unions (ZCTU).

How should I apply for this role, and what do employers in Zimbabwe specifically look for in candidates?

Applications must be submitted via the University of Zimbabwe’s official Human Resources portal or as instructed in the vacancy notice—never via email or social media—and must include certified copies of certificates, ID, and a detailed CV aligned with the job description. Employers prioritise candidates with proven experience in high-volume records environments, familiarity with Zimbabwean public sector documentation standards, and evidence of integrity, accuracy, and confidentiality in prior roles.
