Hwange Colliery Company Limited Holdings is inviting applications for the position of Digital Records Assistant within the Hwange Mining and Processing Company. The successful candidate will be responsible for supporting the digitisation, management and preservation of organisational records. This role is critical in facilitating the transitioning of physical records into electronic systems while ensuring the integrity, security and accessibility of digital information. Key Responsibilities

  • Digitising physical records: scan, index and upload physical records into Eletronic Document Management System (EDMS) in accordance with established standards
  • File conversion and OCR processing: Convert documents across various formats and ensure files are OCR enabled for searchability.
  • Maintaining electronic records repository Management: Maintain and update electronic records and repositories to ensure accuracy and accountability.
  • Records tracking and Retrieval: Monitor record movement and efficiently process access and retrieval request.
  • Records classification and Retention: Classify, tag and file electronic records in compliance with approaved retention and disposal schedules
  • EDRMS Implementation Support: Provide support for the implementation and admistration of the electronic Document and Records Management System.
  • Workflow Management: Oversee and manage electronic records workflow to ensure operational efficiency.
  • Information security and intergrity: Uphold the security, intergriti and accessibility of digital corporate records.
  • Audit Support: Facilitate internal and external audits by providing accurate and timely digital records.

Requirements

  • Mature individual (25 + years), with strong analytical and problem solving skills.
  • Ability to maintain strict confidentiality of corporate information.
  • Strong ICT aptitude and digital system orientation.
  • Excellent attention to detail, accuracy and high level of intergrity and accountability.
  • Good organizational and planning skills.
  • Ability to adapt to emerging technologies and digital transformation initiatives.
  • Degree or Diploma in Records Management, Information Management, Library and Information Science.
  • Degree will be an added advantage.
  • Minimum of 2 years experience in digital records management or electronic documentation management.
  • Experience in documenmt scanning, indexing, metadata managemement and digital filing system.
  • Experience working with Electronic Documents and Records Management System (EDRMS), SharePoint or similar document management platforms will be an added advantage.
  • Exposure to records digitization projects and electronic workflow management will be an added advantage.
