Job Summary

The Data Entry Clerk’s primary responsibility is to verify, prepare and process collected data. The Data
Entry Clerk is also responsible for the safety and quality of the data.

Roles and Responsibilities

– Maintaining first level reporting calendar and liaison with CATS/data sources
subsequently tracking the reporting timelines through reminders and follow—up on late
submissions.

– Prepare data for computer entry by compiling, cleaning, sorting and establishing entry priorities

– Coordinate the capturing, updating and maintenance of all programme data on both soft and
hard copy

– Process data collection tools by reviewing for data deficiencies and resolving discrepancies by
using standard procedures or returning incomplete tools for resolution

– Verify entered data by reviewing, correcting, deleting, re—entering, and combining data from
both systems; when data is incomplete, purging files to eliminate duplication of data

– Ensure that entered data is secure by creating data backups on a periodic basis

– Create and maintain logbooks of entered, altered/revised data and submitted data.

– Respond in a timely way to data access and retrieval requests from authorized members of staff

– Check source documentation against entered data to ensure data quality at every stage

– Coordinate the production of weekly/monthly data sets for use by the M&E unit

– Prepare (i.e. printing and photocopying) weekly and monthly tools used for data collection by
the CATS and Zvandiri Mentors

– Ensure proper filing of organisational M and E Data according to the set standards

– Maintain confidentiality at all times with specific reference to the data that he/she has access
to by virtue of their employ with Africaid.

Requirements
Education/Training

– Possession of an International Computers Drivers Licence (ICDL) or any IT related course
Experience

– Minimum one—year experience in data entry in a community based programme focusing on
children, adolescents and young people living with HIV

– Experience in data entry of statistical analysis packages (e.g. SPSS, CSPro)
Personal Characteristics

– Proficiency in Microsoft Office applications (e.g. Word, Excel, Access)

– Ability to meeting deadlines through working quickly and accurately while paying attention to
detail

– Ability to work with young people at community level
– Excellent written and spoken English, knowledge of Shona or Ndebele essential
