Finance and Administration Assistant: Local NGO

Under the guidance and supervision of the Finance and Administration Officer, the Finance and Administration Assistant provides financial services ensuring high quality, accuracy and consistency of work. The Finance and Administration Assistant promotes a client-oriented approach consistent with established rules and regulations. She or he works in close collaboration with the operations, programme and projects’ staff in the unit to exchange information and ensure consistent service delivery.

Key responsibilities: finance
Initiate all financial transactions and reconciliation’s in line with relevant policies and procedures; Assist in providing a smooth operational workflow through timely payments, cash replenishment and monitoring of expenditure and budget balance; Assist in Producing financial reports as per financial guidelines and when required; Review all documents for sufficient authorization and approvals; Assisting in general grants accounting; Assisting in production of monthly reconciliation’s and management reports; Assisting in the general implementation and monitoring of project accounting systems (i.e. procurement system, financial systems) and policies; To assist in ensuring compliance with plans and offer advice where deviations are discovered; Any other duties as requested by Management

Key responsibilities: administration
Assists in general day to day administrative activities which include records management, filing, archiving and retrieval of project documents; Assist with purchasing of project assets adhering to policy procedures and systems; Maintain confidential records and files; Any other duties as requested by the Management

Skills and competence
A first degree in Accounting, Business Administration, Finance and/or related fields; Advanced stage of professional courses such as ACCA, CIS and CIMAs preferred; Minimum of 1 year of relevant work experience in the field of accountancy, finances and/or administration; High level of competency in IT. Full knowledge of MS Office software package expected; Proven previous professional experience in accounting with Pastel; Clean class-4 driver license; Excellent teamwork skills and the ability to build good relations both internally and externally; Good communication skills in written and spoken English are essential; Sound knowledge and ability to work with multi and diverse stakeholders; Ability to manage budgets (tracking expenditures and variances);
